What entities can sync between MaintainX and NetSuite?

Common set: Items (Parts), Vendors, Assets, Purchase Orders, Purchase Order Receipts (Item Receipts), and Purchase Order Fulfillments. Extended scope includes Part Usage (Inventory Adjustments), Part Transfers, Work Order cost summaries, and general ledger (GL) journal entries for Work Order financials.

How is data ownership defined between MaintainX and NetSuite?

MaintainX is the operational system of record (asset history, work orders, technician activity, purchase order requests). NetSuite is the financial system of record (vendor master, financial postings, general ledger, payments).

Most customers land on NetSuite-owned Parts and Vendors, Assets split between fixed asset management (FAM)-owned and MaintainX-owned (maintenance), and Purchase Orders originated in MaintainX with financial closure in NetSuite.

Can the MaintainX-NetSuite integration be bidirectional for Parts and Vendors?

Bidirectional is possible for any flow, but rarely the right design and master data conflicts get expensive. The recommended pattern is one-way creation (NetSuite to MaintainX) with selected updates back—for example, MaintainX inventory adjustments writing to NetSuite, while Parts and Vendors are only created in NetSuite.

How are NetSuite Subsidiaries and Locations mapped in MaintainX?

NetSuite Subsidiaries typically map to MaintainX Organizations. NetSuite Locations typically map to MaintainX Locations within an Organization.

Do we need our existing NetSuite implementation partner involved?

Almost always. MaintainX handles the MaintainX side and Workato (iPaaS) recipes. The NetSuite partner handles role permissions, custom field creation, sandbox refresh, and any SuiteScript work. Coordination starts in scoping, not at build.

What does our team need to prepare before starting the NetSuite integration?

A NetSuite admin or implementation partner contact, a sandbox account with the integration user provisioned, custom field creation, and a designated business owner for User Acceptance Testing (UAT).

Can we test the NetSuite integration in a sandbox first?

Yes, and strongly recommended. The standard path is to build and validate in a NetSuite sandbox against a MaintainX sandbox, then promote to production with the same recipe and a credential swap.
