Microsoft Dynamics 365 and MaintainX

Overview

Connect MaintainX with Microsoft Dynamics 365 so your maintenance and finance teams work from the same data, in real time. Maintenance teams operate in MaintainX, finance operates in Dynamics 365, and each system reflects what's happening in the other automatically. Sync direction is defined per workflow during scoping, based on which system your team treats as the source of truth.

Works across the Dynamics 365 portfolio: Business Central, Finance & Supply Chain Management, and AX/NAV environments.

Custom integration, built and managed by MaintainX.

Key features

  • Sync locations and warehouses, as well as fixed assets or equipment between systems
  • Sync vendor records from Dynamics 365 to MaintainX, and ensure technicians only raise POs against finance-approved vendors
  • Keep parts data aligned, including item descriptions, costs, units of measure, and on-hand inventory quantities
  • Push purchase orders from MaintainX to Dynamics 365 on approval; amendments with financial impact route back through MaintainX for re-approval before updating Dynamics 365
  • Post parts receipts, cycle counts, manual restocks, and work order consumption to Dynamics 365 as inventory adjustments or GL journal entries
  • Reflect work order close-out costs (materials and labor) against the correct accounts, cost centers, and dimensions in Dynamics 365
  • Transfer parts between MaintainX organizations when inventory moves across sites or business units
  • Support multi-site and multi-company setups, with multiple MaintainX organizations mapping to one or more Dynamics 365 companies or legal entities
  • Need something else? Custom workflows are available.

How it works

1. Contact us

Book a tour or contact your Account Manager.

2. Scope the integration

Every business operates differently, and so do its systems. That’s why we work with your team to define requirements, scope the project, and design integrations that fit your workflows—ensuring the final solution meets your needs.

3. Review SOW & quote

A detailed Statement of Work (SOW) and cost estimate will be provided before configuration begins.

4. Configuration & testing

We’ll build, test, and validate integration flows in a staging environment before go-live.

5. Go live & support

After deployment, we provide ongoing support to ensure the integration runs smoothly.

Requirements

  • Must have a Microsoft Dynamics 365 subscription.
  • Must have MaintainX's Enterprise Plan.

FAQs

I'm interested in the Microsoft Dynamics 365 integration, what should I do first?

This integration is designed and managed by MaintainX to fit your systems and workflows. Book a tour with a product expert or contact your Account Manager for next steps.

Which Dynamics 365 products does the integration support?

The integration has been designed and delivered across multiple Dynamics 365 products, including Business Central, Finance and Supply Chain Management (F&SCM), and Dynamics platforms such as AX and NAV. Each product has a different API surface and integration architecture, so the approach is tailored to whichever Dynamics product you're on. Contact us to discuss your specific environment.

Is this a pre-built connector or a custom build when integrating with Dynamics 365?

It's a custom-scoped build. Every Dynamics 365 environment uses a different chart of accounts, posting structure, vendor setup, and dimension model. The MaintainX Integration Services team brings a tested architecture and established patterns to each engagement — the customization is in the configuration, field mappings, and environment-specific logic, not the underlying integration framework.

Will there be development work required on the Dynamics 365 side?

Potentially, yes. The extent depends on which Dynamics 365 product you're using and how it's configured.

For Business Central: the standard BC v2.0 API covers most master-data and procurement entities. Workflows involving Service Orders, custom posting actions, or webhook subscriptions on entities not natively covered by that API will require a custom AL extension built by your BC partner.

For Finance and Supply Chain Management: integration typically relies on custom data entities, OData services, or Business Events exposed through the F&SCM extensibility layer. Depending on what's already configured in your environment, your Dynamics 365 partner may need to build or expose those endpoints before the MaintainX integration can connect to them.

In both cases, we identify any Dynamics 365-side work required during requirements gathering, so your Dynamics partner can scope it alongside the MaintainX build.

Does the Dynamics 365 integration support multi-site or multi-company setups?

Yes. Multiple MaintainX organizations can sync to one or more Dynamics 365 companies or legal entities, with location, dimension, and account mapping defined per customer during the scoping phase. Most customers integrating at the ERP level operate multiple sites, and the integration architecture is designed to accommodate that from the start.

Is the Dynamics 365 integration real-time or batch?

Most workflows run in near real-time, triggered by events from either system. Some workflows — vendor master sync, location sync, asset sync — typically run on a scheduled cadence because the underlying data changes infrequently. The approach for each workflow is agreed during requirements.

Can I configure the Dynamics 365 integration myself?

Yes. You or a systems integrator can build directly against the MaintainX REST API documentation. Our Integration Services team is available either as the primary builder or to support a self-build with architectural guidance.
